The Role
We're hiring a Sales Operations Coordinator to support and strengthen our sales team. This role is ideal for someone who’s detail-oriented, emotionally intelligent, tech-savvy, and confident enough to own both internal processes and external interactions. You’ll help our team stay organized, improve how we work, and create a strong first impression with our prospects.
This is an opportunity to work closely with leadership and shape how our sales engine runs. If you're the kind of person who notices what others miss, loves turning chaos into clarity, and has a knack for people and process, this could be your seat at the table.
What You’ll Do
- Keep our CRM (HubSpot) clean and updated with notes, follow-ups, contacts, and tasks
- Write and schedule personalized follow-ups after meetings
- Maintain a high level of attention to detail - your writing is crisp, clear, and professional
- Help run early discovery demos and external check-ins
- Track pipeline activities and help report on deal health and status
- Build and refine outreach sequences, write compelling cold emails, and help map customer org charts
- Monitor follow-ups and gently (but effectively) hold prospects accountable
- Spot gaps in sales conversations and suggest smart next steps
- Collaborate with marketing on sales materials, campaigns, and content feedback
- Help introduce and roll out new tools and automations (Zapier, spreadsheets, AI apps, etc.)
- Bring structure to the sales process without making it feel robotic

Qualifications & Requirements
Requirements
- Prior experience in a sales coordination, ops, or client-facing support role
- Strong written communication skills
- Working knowledge of CRM systems (HubSpot preferred)
- Familiarity with spreadsheets, automation tools (Zapier), and AI tools
- Understanding of basic sales funnel mechanics
- Bonus: experience supporting sales teams in a startup or SaaS environment
Work Environment
- Hybrid role: 3 days/week in our Buffalo, NY office

Additional Benefits:
Compensation & Benefits
This is a full-time, salaried position based in Buffalo, NY with a starting salary range of $59,000–$65,000, depending on experience and qualifications. AireXpert is proud to be part of StartupNY, which means you won’t pay any New York State income tax on your salary—adding meaningful value to your take-home pay.
We offer a comprehensive benefits package that includes stock options, unlimited PTO, health, dental, and vision insurance, and a hybrid work environment (three days in-office per week). As a team that thrives on global collaboration, you’ll also be expected to travel occasionally—approximately 10–15% of the year—so a valid passport is required. We work with airlines and partners around the world, and you’ll play a part in shaping those relationships.
